Privacy Policy

This policy explains what information Ultimate Bots collects when you use our website, account, Studio, Bench, apps, APIs and events, how we use it, who we share it with — including partners and developers who build on our platform — and the choices you have.

1. Who we are and what this covers

Ultimate Bots (“Ultimate Bots”, “UFB”, “we”, “us”) runs a humanoid robot sports league and the software around it. This policy applies to every service that links to it, including ultimatebots.com, the account portal at account.ultimatebots.com, Ultimate Bots Studio, WBT Bench, the robot control tools, our developer and partner APIs, our mobile and desktop apps, and our live events (together, the “Services”).

By using the Services you acknowledge this policy. Your use is also governed by our Terms of Service.

2. Information we collect

Information you give us

  • Account details — email address, password (stored only as a secure hash by our authentication provider), display name, username, profile photo and bio.
  • Connected accounts — when you sign in with or connect Discord, we receive your Discord user ID, username, avatar and email address, and the date you connected.
  • Content you create or upload — videos, motion captures, motion files, Studio projects, robot policies, benchmark submissions, comments and anything else you save to the Services.
  • Program information — applications and participation in pilot, ghost, captain, hackathon and similar programs, including team membership and results.
  • Messages and forms — newsletter sign-ups, partner inquiries, support requests and anything else you send us.
  • Event information — tickets, attendance, and photos or video of you captured at our events.

Information collected automatically

  • Usage data — pages and features you use, actions you take, the time and length of visits, and when you last signed in or used Studio.
  • Device and log data — IP address, browser and device type, operating system, language, referring URL and crash or error reports.
  • Cookies and similar technologies — to keep you signed in, remember preferences, protect against abuse and measure how the Services are used. See Cookies and analytics.

Information from others

We may receive information about you from sign-in providers you choose (such as Discord), from partners who run programs or events with us, and from other users (for example, when a teammate adds you to a team).

3. How we use information

  • to create and secure your account and sign you in;
  • to provide the Services, including processing videos into robot motion, storing your projects and running simulations and benchmarks;
  • to run the league, its programs and its events, and to show participants, results and leaderboards;
  • to make your account and activity available to partners and developers through our APIs, as described in How we share information;
  • to send service messages (confirmations, password resets, program updates) and, where allowed, news and marketing you can opt out of;
  • to understand how the Services are used and to improve them, including training and evaluating our own models and robot policies on content submitted to the Services;
  • to detect and prevent fraud, spam, abuse and security incidents; and
  • to comply with law and enforce our terms.

4. How we share information

Partners and developers using our APIs

Ultimate Bots is a platform that others build on. We provide APIs that let approved partners and developers — such as community tools, Discord bots, event organizers, sponsors and companies that support our users — read information about Ultimate Bots accounts. When you create an account you agree that we may share the following with them:

  • your account ID, username, display name and account status;
  • your email address, where the partner is approved for it;
  • your connected Discord ID and username and when you connected it;
  • when you joined and when you were last active;
  • your programs, teams and roles, and activity counts such as the number of motions you have created; and
  • content you have made public, such as your profile and shared motions.

Partners receive this information under agreements that limit how they may use it, and their own privacy policies govern what they do with it. We never share your password. To ask us to stop sharing your information with partners, email contact@ufb.gg.

Service providers

We use companies that process information on our behalf, for example for hosting and databases, authentication, file and video storage, AI and GPU processing, email delivery, bot protection, analytics and error monitoring. They may use the information only to provide services to us.

Public information

Your username, display name, profile and anything you choose to publish (such as shared motions or projects) can be seen by anyone. League participants’ names, likenesses and results may be shown on our site, streams and social channels.

Other cases

  • with your consent or at your direction, such as when you connect another service;
  • in connection with a merger, acquisition, financing or sale of assets, subject to this policy;
  • when required by law, or to protect the rights, property or safety of Ultimate Bots, our users or the public.

Some U.S. state laws may treat sharing information with partners as a “sale” or “sharing” of personal information. You can opt out at any time by emailing contact@ufb.gg.

5. Cookies and analytics

We use cookies and local storage that are needed to sign you in and keep the Services secure, plus analytics tools that tell us how features are used and how pages perform. You can block or delete cookies in your browser settings; if you block the ones needed to sign in, parts of the Services will not work. We do not respond to browser “Do Not Track” signals, as there is no common standard for them.

6. How long we keep information

We keep information for as long as your account is open and as needed to provide the Services. When you ask us to delete your account we delete or de-identify your personal information within a reasonable time, except where we must keep it to comply with law, resolve disputes, prevent abuse or enforce our agreements. Copies already shared with partners are governed by their own retention practices; we will ask them to delete it where the law requires.

7. Your choices and rights

You can:

  • update your profile and connected accounts in your account settings;
  • unsubscribe from marketing emails using the link in each email;
  • ask us to stop sharing your information with partners;
  • ask for a copy of your information, or to correct or delete it; and
  • delete your account by emailing contact@ufb.gg from the address on your account.

Depending on where you live (for example in the European Economic Area, the United Kingdom or California), you may also have the right to object to or restrict certain processing, to data portability, to withdraw consent, and to complain to your local data protection authority. We will not discriminate against you for exercising these rights. To make a request, email contact@ufb.gg; we may need to verify your identity first.

Where the law requires a legal basis for processing, we rely on performing our contract with you (providing the Services), your consent (which you can withdraw), our legitimate interests (running, securing and improving the Services and building our partner platform), and compliance with legal obligations.

8. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit, hashed passwords, optional multi-factor authentication and access controls. No system is perfectly secure, so we cannot guarantee the security of your information.

9. International transfers

We are based in the United States and our providers operate in several countries. Your information may be processed outside the country where you live, including in the United States and the European Union. Where required, we use appropriate safeguards such as standard contractual clauses.

10. Children

The Services are not directed to children under 13, and you must be at least 13 (or the minimum age of digital consent where you live, if higher) to create an account. If we learn we have collected personal information from a child below that age without parental consent, we will delete it. If you believe this has happened, email contact@ufb.gg.

11. Changes to this policy

We may update this policy from time to time. We will post the new version here with a new effective date and, if the changes are significant, let you know by email or in the Services before they take effect.
